Morning offers coworking space and office rentals in its 55+ office spaces in Paris, with eco-friendly architectural design services available. Morning also provides their clients access to resources, IT services and events including catering, transportation, photographers, and more.

Managing multiple locations with varied, tailored services requires a robust IT infrastructure. Around 350 employees work for Morning across Paris, often moving between locations as they're needed. An IT network that oversees client services and manages building projects requires seamless communication, easy sharing, and advanced security to protect sensitive client data.

Mathias Combelle, Director of IT at Morning, is tasked with finding solutions that work for everyone. He noted that:

"Morning has a lot of different teams. We have architect teams, data teams, IT admins, and we share a lot of accounts online."

As the company grew in size, it became obvious that a password manager was required. Mathias recognized that the initial solutions they used when Morning was a startup weren't suitable anymore.

"We started with an Excel sheet to share passwords, but we had to find a more secure solution, because we share thousands of passwords and sometimes people change them." 

Beyond the safety concerns around storing passwords in a spreadsheet online, that system didn't allow them to control account access among the employees.

"There's also onboarding and offboarding when people join or leave the company," Mathias said.

Finding a way to store and manage passwords securely while enforcing access management standards led Morning to seek a better software solution.

Finding the right password manager

Finding a solution based in Europe was a priority. With many European businesses moving away from US tech companies, Morning was looking to follow suit.

"We started to think about getting back our data in Europe," Mathias noted. "And at that moment I met someone at Proton when it was the very beginning of Proton Pass. It was very new on the market, but Proton is trusted for privacy so we made the switch a few months ago."

Proton's commitment to maintaining European infrastructure and data privacy standards attracted Morning.

"We wanted to have our data in the European Union, or close to France. We consider Switzerland closer and more friendly than the US right now."

Shared vaults enable team workflows

One of the immediate benefits of using Proton Pass was being able to build shared vaults for teams within Morning. Mathias pointed out a particularly useful example in the building management team:

"It's around 80 people, and they share one vault. All their accounts are shared, because different managers switch between offices."

"It's really important for them when they come to an office, or when one is away or on vacation, that they can access everything they need for the management of one building. You can just open Proton Pass and you have everything you need to manage the building, like electricity accounts, internet accounts, and bills to pay. We use it in a simple way, but a lot."

Proton Pass can be used as more than a password manager: For Morning, it's an everything manager. Employees can keep track of essential building maintenance, tasks to be completed, and historic payment records by uploading files and keeping notes. Everything team members need to work is protected in an end-to-end encrypted and easy-to-find location. Access to vaults can be granted and revoked in just a few clicks from the admin panel, reducing manual access management work for Mathias and his IT team. Work is streamlined for every team.

SSO for ease and flexibility

Single sign-on (SSO) is an essential feature for Morning. Employees use it to simplify logging in, and Morning didn't want to add any friction with Proton Pass. Mathias also pointed out that SSO would make moving users over simple for his team:

"Single sign-on was one of the things we needed, because we didn't want to switch users manually and then remove them manually."

With Proton Pass, you can configure SSO with your existing identity provider. Minimizing disruption for both team members and Mathias's team, Morning was able to move its users over without any disruption to their work.

A password manager the team wants to use

It wasn't just SSO and easy access management that drew Morning to Proton Pass. Mathias pointed out the importance of choosing a tool that meets and even exceeds its users' expectations:

"I wanted the UX to be beautiful. I think it's important that when you migrate 300 or 400 users, you should choose a solution that isn't too difficult to use or unpleasant to look at. I think it's important for commercial or communication teams to have something user-friendly. That was the case with Proton."

Proton Pass is a tool designed for everyday use. As such, it's intuitive and easy to use for anyone, no matter how much experience they have with password managers. The minimal interface and customizable themes helped all employees at Morning get comfortable with and start relying on Proton Pass.

In fact, Mathias noticed that Proton Pass even spurred an increase in password manager usage. Adoption increased from 70% of employees on their previous password manager to 90% with Proton Pass, a significant security improvement for the company.

Success with Proton Pass

"It's very user-friendly and beautiful," Mathias said. "Users were happy with the migration process because of the ease of using SSO."

Day-to-day operations within Morning are smoother and more secure now that team members can simply pick up where their colleagues left off by logging in to their shared vaults. Admins can easily grant or revoke access to data or vaults shared with external contractors, such as the collaborators on Morning's data-focused reports.

The switch also reduced strain on the IT team. The utility and simplicity of Proton Pass means faster password manager adoption throughout the business.

"Around half of our users migrated in a day or two. That was very cool for us, for the IT team. It's not always easy like this."

Mathias said. Adoption is high within Morning, and the team is already seeing the benefits that Proton Pass offers. Whichever team they work in within the business, everyone can focus on delivering exceptional services for their clients.
